Administrative Specialist, Sacramento

The full-time Administrative Specialist is a forty-hour-per-week position within Transform Health based out of our downtown Sacramento office. To be successful, you must be detail-oriented, eager to learn, an active listener, driven, and familiar with key administrative tasks such as data entry, timekeeping, note-taking, etc. Transform Health is an agile project management environment. The person in this role needs to be self-generating and flexible across multiple projects in a hybrid remote office environment. The right candidate will work dynamically with health policy and program teams of both remote and locally based experts.

The full-time Administrative Specialist position within Transform Health reports to the Office Manager and supports all our staff. To be successful in this role you must be detail-oriented, passionate about organization, and work on our projects to support our staff and understand our work. You must also be adept at using technical data-driven tools such as project management databases, Salesforce CRM, eager to learn, an active listener, and possess strong written communications.

Duties include, but are not limited to:

  • Coordinate internal and external communications for Transform Health’s work to ensure our message is consistent and engaging, which includes scheduling support, partner engagement, and assisting with at least one project at any given time.
  • Communicate with the Operations and MIS staff to ensure that day-to-day operations are coordinated both remotely and in the office.
  • Support our internal teams on a variety of administrative tasks such as time tracking and reporting, timekeeping data entry for billable hours, scheduling meetings, coordinating travel, performing data entry, and running reports.
  • Supporting our Communications staff and project staff in editing, branding, ensuring consistency in communication formats, and developing training content in PowerPoint.
  • Take notes for meetings across multiple projects to support our staff and ensure consistency in style and tone.
  • Support website postings, MailChimp, and other external communications workflows.
  • Proofread documents and communicate clearly with stakeholders on behalf of Transform Health for scheduling and engagement. Follow up as directed.
  • Organize and maintain the Transform Health Headquarters in Sacramento. Host visitors and meetings for staff and partners.
  • Other duties as assigned.

Minimum Requirements:

  • A detail-oriented, self-starter who can self-generate work in accordance with the direction of the firm.
  • Team-focused individual who can support multiple teams and projects simultaneously.
  • Experience with data-entry projects.
  • Strong desire to problem-solve and create the precedent to innovate.
  • High-energy, out-of-the-box thinker to implement and help manage change.
  • Excellent time manager who can juggle several projects simultaneously and completes work within budget and deadlines.
  • Some travel required (up to 10% in a year).
  • Able to speak publicly and eager to learn about health systems transformation work.
  • Bachelor’s degree or equivalent in administrative work, business, communications, or equivalent work experience (e.g., statewide, or national).
